How to access subfolder ID of newly created subfolder on the subfolder validation form

ISSUE

First, we have a typed Folder, that has a sub-type - similar to a Batch (the root folder) that can hold several folders (the sub-folders).

We are in the context of a Validation activity; the user right-clicks on the root folder and chooses to create a new sub-folder (to move inside afterwards some of the documents from the other sub-folders - via drag-and-drop).

Without leaving the Validation activity, we need to immediately retrieve in the validation form associated to the sub-folder type (and not only there) the FolderID for the sub-folder we just created with the right-click.

So far, we are unable to find a way of retrieving the new FolderID - unless we quit the Validation activity and reopen it again; this prevents the validation methods (the system and the custom ones) to perform correctly, since the new FolderID is not yet available.

SOLUTION

There is no build-in system field that returns a subfolder's own ID directly on its own form.

Approach 1: Form buttom

Used Capture starter pack as a simplified test process/forms, but the logic and implementation can be applied in any solution.

Used folder structure:

On the main Validation form, create a new button. Then create and assigned the following 3 form actions to the on clicked event:

DotNetMethod1- creates a subfolder:

FolderID is an already present form variable on the Validation form generation and contains the root folder. subfolderID is populated with the newly created subfolder ID.

DotNetMethod2- Updates the subfolder field value ID to contain the subfolder ID.

Refresh capture form with selected full batch refresh setting to allow the visualization of the folder on the form without needing to refresh the web page.

Runtime result: on button click the subfolder is created, containing its ID. On the subfolder form, changed the labeled the Capture text field ID to TEST. For verification, open repository browser and the subfolder ID in it matches the one on the capture text field successfully, thus allowing the subfolder value to be used in other actions:

Alternative approaches:

>A.approach1: Add the button to the root folder validation form. For this, you will need one extra net action: To access runtime variables and obtain the root folder ID, and assigning the value to a form variable:

>A.approach2: Create the subfolder through a business rule, and have as an output the subfolder ID returned.

>A.approach3: Have a subfolder field containing unique GUID/timestamp filled on creation, then with a business rule loop through the root folder subfolders until a match is encountered and the output to be the subfolder ID. Although, for this approach, for the timestamp, a formatter might be needed.
